Follow the money from an expectation to a recorded payment, an explanation and a decision.

Start with the position.
The overview is designed to help you understand your business account at a glance: what is available, what is committed and which questions need attention. View an account’s activity alongside its balance, or follow a decision to the record it concerns.
Money you expect to receive is shown separately from money already available. Planning figures can help you think ahead, but they do not confirm that a customer will pay.
Bring the records together.
A receipt can relate to one invoice, several invoices or part of an agreed amount. The proposed workflow puts the payment beside invoices, remittances, agreements and credit notes so you can inspect the connection.
A similar amount is a clue. It is not enough on its own to close an invoice or explain a difference. Where more than one match is possible, the alternatives need a person’s review.
Understand the difference.
In our fictional example, £37,500 arrives against a £40,000 invoice. Supporting records explain £1,200 of the £2,500 gap. The remaining £1,300 stays open for investigation.
An explanation should tell you what it relies on and what it cannot establish. From there, you can inspect a document, ask for a remittance or prepare a follow-up.
Review the next step.
Payments and transfers have a different journey from explanations. The amount, source account, destination and purpose belong in the review before an instruction is submitted. Authorisation and completion remain separate states.
If a response is interrupted, the original request remains available to check. Starting again without knowing the result can create a duplicate.
